# The monthly evidence pack your Italian in-country partner should send you

> What a global EOR or payroll platform should receive from its Italian in-country partner each month, and why a fixed evidence pack protects your operations.

Your platform promises clients a compliant payroll in Italy. You do not run that payroll yourself. Your in-country partner (ICP) does. So the question for partnership and operations teams is simple: what proof do you get each month that the work was done correctly?

A good ICP does not wait to be asked. It sends the same evidence pack every month, in the same structure, on a fixed schedule. This article lists what that pack should contain and why each item matters.

## Why a fixed pack matters

Without a defined pack, evidence arrives by email, in different formats, when someone remembers. Your finance team chases. Your support team cannot answer client questions. Your auditors ask for documents that nobody can find.

A fixed pack changes this. Everything is predictable. Anyone on your team can open the folder for a given month and see what happened.

## The documents

### Payroll calculation file

This is the base of the pack. It shows, for each worker, gross pay, deductions, employer cost and net pay. It should match the figures in your own ledger line by line. If it does not, you want to know before the client does.

Ask for it in a machine-readable format as well as a readable one. Your team should be able to reconcile it without retyping anything.

### Payslips

Every worker needs a payslip. The pack should include a copy of each one issued, or a clear link to where they are stored. Your platform should be able to confirm that every active worker received one.

Check that the payslip shows the right collective agreement and job level. Errors here are common and they cause disputes later.

### Proof of tax and social contribution payments

Payroll is not finished when the calculation is done. The employer must pay withholding tax and social contributions to the authorities. The pack should include proof that these payments were made, and the matching filings.

This is the item that matters most for risk. A late or missing payment creates liability that can come back to your client and to you. Ask for the payment receipts, not a statement that payment was made.

### Net pay confirmation

The pack should show that net salaries were actually paid to workers. A bank confirmation or payment batch report is enough. It closes the loop between the calculation and the money.

### Variance report

Show what changed against the previous month. New hires, leavers, salary changes, unpaid leave, overtime, bonuses and corrections. This is where your operations team spends its time, because most questions from clients are about changes.

A short note from the ICP on each material change saves many emails.

### Headcount and status list

A current list of workers, with start dates, contract type and status. It lets you check that your own records and the ICP's records agree. Mismatches in headcount are a quiet source of billing errors.

### Open items and exceptions log

Every month has loose ends. A missing document from a worker. A pending authority reply. A correction waiting for approval. The ICP should list them, name an owner and give a target date for each. An empty log is fine. A missing log is not.

### Document and authority correspondence

Copies of notices received from Italian authorities or institutions about your workers or your client entities. These need fast attention. They should reach you in the pack at the latest, and sooner if urgent.

## How to ask for it

Put the pack into your service agreement. Define the list of documents, the format, the delivery deadline and who receives it. Add what happens if it is late.

Agree on naming and folder rules. Agree on how corrections are labelled so you can tell a revised file from the original.

Treat personal data with care. The pack contains pay data for named people. Use a secure transfer channel, not plain email attachments, and limit who can open the files.

## What you do with it

Once the pack arrives, run the same checks each month. Reconcile totals to your ledger. Confirm payslip count against headcount. Match payment proofs to the calculation. Review the variance report and the open items log.

Keep the packs. They are your audit trail. If a client, an auditor or an authority asks what happened in a given month, you can answer in minutes.

## A sign of a mature partner

A mature ICP treats the pack as part of the service, not as an extra. It delivers on time, flags problems before you find them and does not need reminders. If your partner resists a fixed pack, that tells you something about how the rest of the work is run.

Partnership teams that want to see how this pack can be exchanged as structured data are welcome to request the data-exchange specification.
