# How to hit a start date in Italy: back-planning every step to day one

> Plan an Italian start date backwards. Which steps set the timeline, where delays hide, and what a platform should collect early.

A start date in Italy is not set by the contract. It is set by the slowest step before it. If you plan forward from the signature, you will miss dates. If you plan backward from day one, you see which steps decide the outcome.

This article gives the order of work and the dependencies. It gives no durations. Lead times change with the office, the season and the profile of the hire. Any figure we printed here would not be tied to a verified source. Treat the sequence as the useful part and confirm each timing for the case in front of you.

## Start from day one and walk backward

Day one means the worker can legally begin, has a signed contract, is registered with the right bodies, and is set up for payroll. Write that down as the end state. Then ask what must be true the day before.

**Registration with social security and tax bodies.** The employment relationship must be notified before work starts. This notification needs a confirmed start date, the right contract type and the right collective agreement. It cannot be done on a guess. So the contract terms must be final before it.

**Signed contract.** The contract depends on the collective agreement, the job level and the pay components. If any of these are open, the contract is open. The most common cause of late contracts is an unsettled job level, not slow signatures.

**Collective agreement and level.** This is the decision that drives the cost and the contract. It should be settled early. Do not leave it to the end because it feels administrative. It shapes salary minimums, notice, leave and contribution rates.

**Candidate documents.** Identity, tax code, bank details and proof of address. Many delays start here, because the candidate is busy with a notice period elsewhere. Ask for these on the day the offer is accepted.

**Work authorization, if the hire is not an EU citizen.** This is the step with the most uncertainty and the least control. It involves public offices and, often, a consulate abroad. Put it at the top of your plan, not in the middle. Everything else can usually be compressed. This cannot.

**Relocation, if the hire moves.** Housing, registration at a local address and family members all depend on the candidate's own pace. Start them in parallel with the contract, not after it.

## What can run in parallel

Some steps wait for others. Many do not.

- Document collection can run while the level is being decided.
- Payroll setup can run while the contract is being signed, if the pay structure is agreed.
- Relocation tasks can run while authorization is pending, if the risk is accepted.

What cannot run in parallel: registration needs the final contract terms, and work cannot begin before authorization where it is required.

## Where delays hide

**Late offer details.** Bonuses, benefits and allowances change the contract. If the client adds them after the offer, the clock restarts.

**Missing decisions on your side.** The platform waits for the client, the client waits for the hiring manager. A named owner for each decision removes most of this.

**Candidate availability.** A start date must respect the candidate's notice period with the current employer. Confirm it before you promise a date.

**Assumed rather than checked requirements.** A role that looks routine can need extra steps, such as a regulated profession or a special contract type. Check this at intake.

## What a partner platform should collect at intake

A good intake form makes back-planning possible. It should capture:

- the target start date and whether it is fixed or flexible
- the nationality and current location of the hire
- the candidate's notice period
- the proposed job title, level and pay components
- the applicable collective agreement, or the data needed to find it
- whether relocation is involved

With these, the plan can be built in minutes. Without them, the first week is spent asking questions.

## How to give a date you can keep

Do not give the client a single date at intake. Give a sequence with the dependencies marked, and say which step carries the risk. Then give a date once the risky step is clear.

If the date is fixed by the client, work out what has to be true by when, and flag early which steps leave no margin. Clients accept a hard conversation in week one. They do not accept a surprise in the last week.

On the Italian side, we confirm each timing against the current source before we quote it. We would rather say a step is uncertain than repeat an old number.

Partnership teams that want to build this sequence into their own workflow can request the data-exchange specification.
