How to explain an Italian payslip to an employee: a script for support teams

Employees outside Italy, and many inside it, open an Italian payslip and do not know where to look. The layout is dense. The terms are Italian. The net amount is lower than they expect.

Your support team gets the question. This article gives a script they can reuse. It follows the order in which the payslip makes sense: gross, contributions, tax, net.

Before you start

Ask the employee to open the payslip and keep it visible during the conversation. Tell them you will walk through it from top to bottom. Most confusion comes from people jumping to the net figure and working backwards.

Keep one rule: explain the mechanism, not the personal tax situation. If the employee asks whether their own result is correct, say that you will check the inputs with the payroll provider.

Step 1: Gross pay (retribuzione lorda)

Say: “The first block shows what you earned in the period before anything is taken off. This is the gross amount. It includes your base salary and any extra items, such as allowances or bonuses paid that month.”

Check: Does the base salary match the contract? Are any variable items listed that the employee did not expect?

If the gross is wrong, stop here. Everything below depends on it.

Step 2: Social security contributions (contributi INPS)

Say: “Next, a contribution is deducted for the Italian social security system, called INPS. This pays into your pension and related protection. The employee share for the main pension scheme (IVS) is 9.19% of the taxable base.”

Check: Is the percentage applied to the right base? The base is the amount subject to contributions, which is usually the gross pay for the period.

The employer also pays contributions on top. Those do not reduce the employee’s pay. If the employee asks, say that employer contributions are a cost to the company and do not appear as a deduction from their net.

Step 3: Taxable income

Say: “After the INPS contribution, you get the amount on which income tax is calculated. This is the taxable base for IRPEF, the Italian personal income tax.”

This is the line employees most often miss. Point to it directly. It explains why tax is not simply a percentage of gross.

Step 4: Income tax (IRPEF)

Say: “Italian income tax works in brackets. Each slice of your annual income is taxed at its own rate. You do not pay the higher rate on everything.”

Then give the brackets in a short table:

Annual income slice Rate
Up to EUR 28,000 23%
From EUR 28,000 to EUR 50,000 33%
Above EUR 50,000 43%

Say: “Your payslip withholds tax month by month, based on your expected annual income. That is why the amount can look different from a simple reading of the table.”

Common question: “I moved into a higher bracket. Do I lose money?”

Answer: “No. Only the part of your income above the threshold is taxed at the higher rate. The income below it stays at the lower rate.”

Step 5: Deductions and adjustments

Say: “Some lines can increase or reduce the tax withheld. These are adjustments tied to your personal situation or to the tax year. If you see a line you do not recognise, tell me its name and I will find out what it is.”

Do not guess. Write down the exact label as printed and send it to payroll. Italian payslip labels are not standard across providers, so the same item can appear under different names.

Step 6: Net pay (netto in busta)

Say: “The last block is what you receive in your bank account. It is gross pay, minus your INPS contribution, minus income tax, plus or minus any adjustments.”

Write this on screen or in chat as a single line: gross, minus contributions, minus tax, plus or minus adjustments, equals net.

What to escalate

Some questions should not be answered by first-line support. Send these to payroll:

  • The employee believes the gross amount is wrong.
  • A line label is unknown and cannot be matched to a standard item.
  • The tax withheld looks inconsistent with the employee’s expected annual income.
  • The employee asks for advice on personal tax filing.

Tell the employee what happens next and who will reply. Do not leave the case open without an owner.

Tone notes for agents

  • Use the same order every time.
  • Name each section in English and give the Italian label once, so the employee can find it on the page.
  • Avoid tax advice. Describe what the payslip shows.
  • Confirm understanding after each step before moving on.

Making this script work at scale

A script helps, but the best support is a payslip that arrives already explained. Platforms can map the Italian line items to plain-English labels and show a short summary next to the PDF. That cuts repeat questions and gives your agents the same vocabulary as the employee sees.

This needs structured payroll data, not a scanned document. Agree the fields once, and the explanation can be generated for every payslip.

Partnership teams: request the data-exchange specification.
