Employee welcome pack for Italian EOR hires: what every new hire should receive
Last modified on November 5, 2026 • 6 min read • 1,134 wordsA new hire in Italy judges your platform in the first days. The contract is signed, but the questions start right after. What is my CCNL? When do I get paid? What is this line on my payslip? A good welcome pack answers these before they are asked.
This article lists what every new hire should receive. It is written for partnership, operations and payroll teams at global EOR and payroll platforms who work with an Italian provider.
Why the pack matters
Italian employment looks different from what most foreign hires expect. Pay is often described in gross annual terms, but the contract follows a national collective agreement (CCNL). Benefits, notice rules and leave come from that agreement, not only from the individual contract. A hire who does not know this will open a support ticket. A hire who has the pack will not.
The pack also protects your partner relationship. Fewer tickets mean fewer escalations to your team and ours.
What to include
Signed contract and CCNL summary
Send the signed employment contract and a plain-language summary of the CCNL that applies. The summary should name the agreement, the job level assigned to the hire, and the rules that matter most: working hours, leave, notice and sick pay. Keep it to a page. Link to the full text for those who want it.
Who is the employer
Explain the structure in simple words. The EOR is the legal employer in Italy. The client company directs the daily work. The hire should know who handles pay, who handles HR questions and who handles work tasks. Put names and contact channels in the pack.
Payroll calendar and payslip guide
Give the pay date for every month and the cut-off for changes such as expenses or hours. Add an annotated sample payslip. Mark gross pay, income tax withholding, employee social security contributions, regional and municipal tax items, and net pay. Italian payslips are dense. A single annotated example saves many questions.
Explain that the severance fund (TFR) builds up over time and is not paid monthly. New hires from other countries are often surprised by this.
Benefits and welfare
List every benefit the hire is entitled to, split into two groups. The first group comes from the CCNL. The second group comes from the client or the EOR package.
Meal vouchers are a common example. The source we use reports a figure of 10 EUR per day for electronic meal vouchers. Treat this as a reference point and confirm it against the hire’s contract and current rules before you publish it in a pack. Say clearly whether the hire receives vouchers, in which form, and how to activate them.
Tax and social security basics
Explain what the employer withholds and what the hire does not need to file. Many hires fear a separate tax return. Tell them whether one is needed in their case. If the hire moved from abroad, add a short note on tax residence and point to the right contact. Do not give personal tax advice in the pack. State the limits of what the EOR can answer.
Time off, sickness and absence
Show how to request leave, how to report sickness and what proof is required. Sickness reporting in Italy follows a set procedure with medical certification. Describe each step in order and name who the hire must inform. Include public holidays that apply to the work location.
Equipment, data and policies
Confirm who supplies equipment and who owns it. Add the data protection notice and any remote work terms. Keep policies short and link to the full documents.
Visa and relocation status
For hires who need a work permit or are relocating, add a checklist of steps, owners and current status. Update it as things move. Hires who relocate are anxious until the paperwork is done, and a visible status page lowers that anxiety.
Support map
End with a single table: question type, who answers, channel, expected response time. Payroll, benefits, contract changes, expenses and immigration should each have a named owner.
Format and delivery
Send the pack before the start date, not after. Use the hire’s language where possible, with the Italian terms kept in brackets, because payslips and official letters will be in Italian. Use one page per topic. Avoid long PDFs that nobody opens.
Make the pack data-driven. If contract data, payroll dates and benefit rules sit in structured fields, the pack can be generated for each hire and kept current when rules change. Static documents go stale.
What partners can expect
A platform partner should receive the same pack content as structured data, so it can show it inside its own product. That means the hire sees one experience, and the partner keeps its brand. Source and date should travel with each rule, so your team can see what a statement is based on.
A short checklist
- Signed contract and CCNL summary
- Employer roles explained
- Payroll calendar and annotated payslip
- Benefits list with conditions
- Tax and social security basics
- Leave and sickness procedure
- Equipment, data and policy notes
- Visa and relocation status
- Support map with owners
If every hire gets these items before day one, onboarding tickets drop and trust rises.
Partnership teams: request the data-exchange specification and we will send it.
