# An employee disputes their net pay: triage to resolution in one ticket

> How a global EOR or payroll platform can take a net pay dispute in Italy from first message to closed ticket, with the right data attached from the start.

A message arrives from an employee in Italy. The net pay is lower than expected. The employee is upset. Your support agent opens a ticket.

What happens next decides whether this is a short exchange or a long chain of emails across time zones.

This article walks through one dispute, step by step. The goal is simple: triage, diagnosis and answer inside a single ticket.

## Why these tickets drag on

Most net pay disputes are not errors. They are gaps in understanding. The employee compares the payslip with an offer letter, a colleague's number or last month's payment. The platform sees a correct calculation. Neither side has the same view of the data.

The delay comes from missing context. The agent asks for the payslip. The employee sends a photo. The agent asks the local partner. The partner asks for the payroll input. Each handoff adds a wait.

## Step 1: Classify before you reply

The first job is to sort the dispute. Do not answer the emotion. Sort the cause.

Most cases fall into a few groups:

- The employee expected a gross-to-net figure that was never shown to them in that form.
- A one-off item changed the month: a bonus, a deduction, an expense refund, an adjustment from a prior period.
- A change in personal circumstances was not reflected, such as family status or tax details.
- A real input error: a wrong hours figure, a missed allowance, a late contract change.

Only the last group needs a correction. The others need an explanation. Tag the ticket with one of these classes at once. The class decides who works on it.

## Step 2: Pull the same data the payroll used

The agent should not rebuild the calculation from memory. The ticket should carry the payroll inputs and the payslip lines together.

That means the agent sees, in one place:

- the contract terms on file,
- the monthly variable inputs,
- the contributions and tax withholdings applied,
- the collective agreement the employment is under,
- the changes since the previous period.

If your platform and your Italian partner exchange this as structured data, the ticket fills itself. If they exchange it as attachments, the agent hunts for it. This is the main place where time is won or lost.

## Step 3: Compare, line by line

With both periods side by side, the agent compares each line. The difference usually shows up in one or two lines. A deduction that appears only this month. An allowance that stopped. A withholding that adjusted after a change.

Write the finding in plain words. Name the line. State what moved it. State whether it is expected.

Do not paste a statute or a long rule into the reply. The employee needs the reason, not a legal essay. If a source matters for your internal record, attach it as a note for staff.

## Step 4: Decide the path

Now the class from Step 1 pays off.

**Explained difference.** Reply with the line-by-line comparison. Keep the tone calm. Offer a short call if the employee wants one. Close the ticket when they confirm.

**Missing information from the employee.** Ask for exactly what is needed, once. Do not send a generic form.

**Real error.** Flag it to payroll with the evidence attached. State the correction route: a supplement in the next run or an off-cycle payment. Tell the employee which one, and what they will see on the next payslip.

## Step 5: Close with a record

The ticket is not done when the employee says thanks. It is done when the record is complete.

Store the cause class, the line affected, the action taken and the time to resolve. Over a few months this shows patterns. If many disputes come from the same line, the problem is not support. It is how the payslip is presented, or how a change is communicated before it happens.

That feedback loop is worth more than any single fast answer.

## What the platform and the local partner must agree on

A single-ticket flow depends on a few agreements made before any dispute exists:

- Who owns the first reply, and in which language.
- Which data the partner shares with the platform automatically, and in which format.
- How a correction request is raised and how it is confirmed.
- What the employee sees, and when.

Without these, the ticket bounces. With them, the agent works from one screen.

## The short version

Classify first. Attach the payroll data. Compare line by line. Explain in plain words. Correct only what is wrong. Record the cause.

A net pay dispute then becomes a routine event, not an escalation.
